SC16 has only one authorized contractor for arranging hotel rooms: Orchid Event Solutions. The conference is not responsible for hotels or rates offered by travel agents or other organizations that claim to speak on behalf of SC16. To avoid potential problems with your reservation, please be sure to use the forms accessible from this website.
Important Dates:
April 4, 2016 – Hotel reservation system opens
September 15, 2016 – Last day for submitting occupancy lists for exhibitor room blocks
October 18, 2016 – Last day for making hotel reservations
October 14, 2016 – Last day for canceling hotel reservations with no penalty
October 19 through November 4, 2016 – Late requests for hotel reservations will be accommodated if possible
72 hours (3 days) prior to scheduled arrival – Last chance to cancel without also paying charges for first night
Choosing a Hotel
Housing is open. Make your hotel reservation at https://resweb.passkey.com/go/SUPER16.
Many SC16 hotels are located within a few blocks of the Convention Center. Others are located near the Salt Lake City Airport for convenient arrivals and departures. A few others are located near the University of Utah campus. Bus transportation will be provided to/from any conference hotels farther than .5 miles from the Convention Center.
The web site listed above provides a map with the locations of all conference hotels as well as their distances from the Convention Center. Hotel choices and rates are also available there. A range of prices is available, and free internet access is included with all rooms booked through our hotel reservation website. Check individual hotel sites for details about on-site restaurants, fitness centers, and other amenities.
Making Your Hotel Reservation
Reservations will not be accepted without a room deposit of one night’s room rental plus tax for each room reserved. A credit card is required for this; no checks, cash or money orders will be accepted. Requests that do not include a valid credit card will be returned without processing. Note that the credit card must be valid through November 2016.
- Online reservations: Use the online reservation system to reserve up to 10 hotel rooms. This is the preferred method for making reservations.
- Phone reservations: Call Orchid Event Solutions toll-free at 888-665-1371 (International: 801-505-5264), between 9am and 8pm Eastern Time, Monday through Friday.
The last day for requesting reservations is Tuesday, October 18, 2016.
Watch for Your Confirmation
Rooms will be reserved on a first come, first served basis. A confirmation from Orchid Event Solutions – not the hotel – will be sent for each reservation, modification or cancellation. Email confirmations will have the return address of “SC16”, so you may need to watch your spam file.
Please review your confirmation carefully for accuracy. If, after 10 days, you have not received a confirmation, please notify Orchid Event Solutions using the contact information at the bottom of the page.
If You Need to Make a Change or Cancel Your Room
Although your reservation will be confirmed by Orchid Event Solutions, your hotel will not receive information about your reservation until November 4, 2016. Before that date, be sure to contact Orchid Event Solutions – not the hotel – with any questions or changes to your rooms (See contact information at the bottom of the page).
Reservations can be modified or canceled without penalty no later than October 18, 2016. After this date and up to 72 hours prior to arrival, cancellations will be subject to a $125 penalty. Any cancellations within 72 hours of arrival are subject to one night’s room and tax penalty at your confirmed hotel. Be sure to go through Orchid Event Solutions – not the hotel – up to and including November 4, 2016.
